5 office productivity hacks

Are you one of them who spend hours organizing and handling office tasks, meeting deadlines, making plans that materializes below the target, who panics in an emergency situation and ultimately bring home impatience, stress, high blood pressure and irritation?!

Well, I certainly am not here to suggest a myriad of ways. No ramblings, straight to the point. 

5 office productivity hacks

1. MAKE A LIST OF THINGS-TO-DO (TDL)

Whatever be the case, list all the tasks you need to do. This could be in any order. The idea here is to gather all that you need to do - daily routines, monthly, quarterly. Anything, everything, list it down. Re-order this list based on priority and when each need to be completed. Make a realistic plan and stick to the schedule. Be well prepared for the day and week ahead.

2. FOCUS ON YOUR TDLs

You may encounter small tasks to be taken care while at a TDL - if this can be temporarily ignored, do it. Assign it in your TDL as per the priority requirement. Never deviate from what you are currently doing. If it is an emergency, delegate your current work or the emergency work to your team member

3. ORGANIZE YOUR EMAIL / PHONE / TECHNOLOGY

Email - Get all your emails organized. Set rules and alerts for incoming mails from clients, suppliers and colleagues. Filter out spam messages. Set a time or two for responding to emails and stick to it; get out of the habit to check and reply to emails every 10 - 15 mins.

Phone calls / Notifications - With the era of Whatsapp, FaceBook and other social medias, a lot of commitment and time is wasted on effective productivity. All I would assert is that if you are going to use your phone or computer - use it NOT as a tool for distraction.

Technology: Get a CRM - Customer Relationship Management app to help you keep track of TDLs, organize all information into one system; bringing all the pieces together. Several advantages having a CRM in effect. The key to this is that it provides an effective platform to help business grow and succeed 

4. RELAX

Take a 15 mins break. Breathe in, breathe out. Stretch. Walk. (I do not recommend the hourly break where you lose focus and flow of the work). 

5. BE CLUTTER FREE

Finally, before you leave work, make sure you clean up all clutter and stack back your files. Next morning, you will be glad to focus on your days' TDL.

WORK FROM HOME

Keeping the universal 8 - 12 hours office hours aside, if you have the opportunity and your home is noise free, work from home! There are times when you want to sit at home and complete a set of work, productively. Trust me, there is no better place than your quiet sweet home.
